Opportunity Information:

  • Collect availability for provider schedules
  • Create all emergency department, hospitalist, urgent care clinic schedules, as needed
  • Upload hospital schedules to scheduling software as needed
  • Post/upload all schedules in a timely manner that aligns with the regular posting rotation
  • Maintain and update all provider calendars in scheduling software
  • Send reminders to providers about upcoming shift changes
  • Create and maintain all first shift projects in task management software and ensure that team members are completing their tasks
  • Schedule orientations and shadowing shifts, and enter shifts into Outlook calendar
  • Print hospital calendars as requested
  • Cover any open shifts
  • Be available to be “on call” for provider scheduling support when required (One week on call/Two weeks off call)
  • Update the scheduling on-call schedule
  • Calculate schedule costs as requested
  • Communicate with credentialing department about any provider certification expirations that might affect shifts
  • Communicate with Scribe Manager and Quality Review Coordinator regarding last-minute schedule changes
  • Be available to the Regional Managers and hospital staff to assist with provider and hospital scheduling preferences
  • Be available for hospital staff, as needed, to assist with communications between them and providers about urgent staffing needs
  • Communicate with providers about their future availability and schedule-related plans
  • Meet with providers, as needed
  • Maintain good, personal relationships with the providers
  • Communicate scheduling needs to Administrative Services Manager for recruitment purposes and provider-specific scheduling details to Recruiting department
  • Communicate with locums contacts about providers
  • Work with Education and Quality and Client Relations departments to ensure schedules are satisfactory to both providers and client hospitals
  • Maintain scheduling spreadsheets on SharePoint
  • Write/upkeep SOPs for all duties
  • Update the CRM with shift numbers/locations/rates as needed
  • Create and update email groups
  • Send weekly email reports
  • Keep track of daily activities as needed
  • Order uniforms for new providers
  • Coordinate travel for providers as needed
  • Compile data as requested
  • Track provider bonuses and communicate with financial operations team
  • Attend weekly and monthly operational meetings as required


  • High School Diploma or Equivalent
  • Valid Driver’s License
  • Ability to multi-task, negotiate, and problem solve
  • Ability to think critically
  • Ability to take constructive feedback from a variety of perspectives and weigh the inputs when making decisions
  • Excellent communication skills (written and oral, and through various means)
  • Knowledge of Microsoft Excel and Word
  • Working knowledge of scheduling complexities
  • Able to work well as part of a team
  • Emotional intelligence
  • Extensive smartphone capabilities
