Job Title: Employee Experience Coordinator

Location: Main Office in Carbondale, IL (Remote up to two days a week)

Hours:  Monday – Thursday 8:00 AM – 4:30 PM

Friday 8:00 AM – 2:00 PM (or until 40 hours are met)

Salary Range: $20 – $22 per hour / depending on life, work, and educational experience

 

Position Overview: The Employee Experience Coordinator supports the Human Resources department and enhances employee relations throughout the company, assists with benefits administration, drives effective recruitment processes, and supports seamless onboarding/offboarding processes. This role is integral in fostering a positive company culture through employee satisfaction, relationship building, employee engagement initiatives, and effective communication. The Employee Experience Coordinator plays a key part in enhancing employee relations across the company. Responsibilities include assisting with benefits administration, driving effective recruitment processes, and supporting seamless onboarding and offboarding.

Experience and Skills Needed:

  • Excellent written and oral communication skills
  • Strong organizational and planning abilities with attention to detail
  • Ability to prioritize tasks and manage multiple projects effectively
  • Proven capability to build strong relationships and work independently or within a team
  • Proficiency in Microsoft Office applications (Outlook, Excel, Teams, Word, PowerPoint, CoPilot (AI)) and human capital management systems (preferred)
  • Experience in graphic design and desktop publishing tools
  • Ability to identify candidates that align with job openings and prioritize based on company needs
  • High School Diploma or equivalent required; associate or bachelor’s degree preferred
  • Two years of office administrative experience, with one year in human resources preferred
  • Health care experience preferred
  • Valid driver’s license required

Key Responsibilities:

  • Employee Relations Responsibilities:
    • Collaborate with the HR team to organize team building, employee engagement events, and development training.
    • Manage employee recognition programs, including sending birthday/work anniversary cards, distributing gifts, and posting milestones on Teams.
    • Create and distribute the monthly non-provider newsletter and employee event invitations.
    • Coordinate provider and administrative employee gifts in collaboration with relevant departments.
    • Foster employee engagement through social media, surveys, and promoting company culture.
    • Conduct monthly government checks on all employees and maintain relationships with staff, providers, and client hospitals.
    • Lead morning prayer conversation starters with the HR team.

 

  • Recruitment Responsibilities:
    • Collaborate with managers to define job specifications, key competencies, and qualifications for non-provider positions.
    • Post job openings, design graphics, and manage postings on social media.
    • Pre-screen candidates, schedule interviews, and facilitate the interview process, providing feedback and recommendations to managers.
    • Maintain strong relationships with leaders as a trusted talent advisor, supporting recruitment, retention, and strategy implementation.
    • Communicate with hiring managers on the status of interviews and ensure offers are made within the appropriate pay range.
    • Administer pre-employment documentation, such as background checks, and handle candidate communication once positions are filled.
    • Research and implement effective recruitment methods to attract top talent.

 

  • Onboarding and Offboarding Responsibilities:
    • Ensure the onboarding process aligns with the company’s values, vision, and mission and create new hire training schedules.
    • Prepare employment paperwork, welcome kits, and workstations for new hires, and coordinate their orientation and testing (drug screens, vaccinations, hospital orientations).
    • Collaborate with the HR team and IT to ensure all necessary systems and access are in place before the employee’s first day.
    • Manage the creation of electronic files and maintain consistent onboarding checklists and processes in the project management system.
    • Organize offboarding by assigning tasks to relevant individuals and ensuring timely completion.

 

  • Provider Onboarding and Offboarding Responsibilities:
    • Create and maintain onboarding, offboarding, and employment change projects in Microsoft Planner.
    • Prepare and send employment verification letters and paperwork for new providers.
    • Develop electronic files and schedule orientation calls with providers.
    • Collaborate with the credentialing team to collect health records and schedule necessary testing (drug screens, vaccinations, etc.).

 

  • HR and Payroll System Management Responsibilities:
    • Maintain the HR and payroll system, including adding new positions and team member profiles, and overseeing the onboarding process for administrative employees.
    • Ensure compliance with federal and state regulations.
    • Audit and update employee handbooks, policies, and maintain necessary records and reports.
    • Create and maintain standard operating procedures for the HR department.

 

  • IT Management Responsibilities:
    • Coordinate IT onboarding and offboarding for employees, including preparing and distributing IT forms, managing equipment distribution and return, and communicating with employees about the process.
    • Attend weekly IT meetings to stay updated and address any IT-related issues.

 

  • Administrative Responsibilities:
    • Maintain and update employee and independent contractor files, ensuring compliance with federal and state documentation requirements.
    • Conduct file audits to verify that all necessary documentation is collected and maintained.
    • Collect medical files, such as annual flu vaccines, as required by hospital guidelines.
    • Assist the HR Manager with updating Team Member Profiles as needed.
